Admin Usage Tracking
Monitor and manage your workspace resources, from AI tokens to active user seats.
Overview
The Usage Tracking dashboard provides administrators with a comprehensive view of how Ticket Mate resources are being consumed across the organization. This transparency is crucial for budget planning and identifying power users or optimization opportunities.
Key Monitoring Areas
1. AI Resource Consumption
AI features are powered by large language models and are subject to token-based limits.
- Token Velocity: Tracks the rate of token usage over the last 24 hours, 7 days, and 30 days.
- Cost Attribution: See which departments or teams are generating the most AI activity.
- Efficiency Metrics: View the ratio of "Successful Enhancements" vs "Failed Attempts" to fine-tune your prompts.
2. User Seat Allocation
Manage your subscription capacity in real-time.
- Seat Occupancy: Number of active users relative to your paid limit.
- Idle Seat Detection: Automatically flags users who haven't logged in for 30+ days.
- Seat History: Audit log of when seats were added or removed.
3. API & Webhook Volume
High volumes of Jira or GitHub activity can impact dashboard performance.
- Sync Frequency: Average number of sync operations per hour.
- Webhook Throughput: Total number of incoming signals from external integrations.
Optimization Strategies
Managing AI Costs
- Selective Auto-Enhance: Disable automatic AI ticket enhancement for specific, low-priority teams.
- Model Switching: Use faster, more cost-effective models for simple tasks like label categorization.
Seat Cleanup
- Auto-Deactivation: Configure a policy to automatically move inactive users to "Viewer" status to free up "Editor" seats.
Reporting & Alerts
- Usage Thresholds: Configure email alerts when usage reaches 80% of your current plan.
- Monthly Statements: Download detailed CSV reports of all consumption data for internal billing.
